Unlike a policy that sits outside the workflow, effective governance gives people usable context while they prompt, draft, review and publish. Why do brands need governance for generative AI?

Brands need governance for generative AI because generation can scale faster than the organisation’s ability to review what is being said in its name. What is AI brand drift?

AI brand drift is brand drift accelerated or amplified by AI-assisted creation. General-purpose models are optimised to produce useful language, not to preserve one organisation’s accumulated identity. Without governed context, repeated generations can converge on familiar category phrases, introduce unsupported certainty or reproduce the average voice of a market. The result may be polished but progressively less recognisable. GentlyAI addresses AI brand drift by bringing approved Brand Memory, governance checks and human approval into supported workflows. It does not claim that every variation is wrong; it helps the responsible person see whether a variation is consistent, risky or a deliberate change that needs approval.

How does GentlyAI identify brand drift?

Does GentlyAI replace human judgement?

No. GentlyAI is designed to strengthen human judgement, not replace it. The platform can organise source evidence, apply approved Brand Memory, identify potential drift and produce governed recommendations, but a person remains authoritative for brand meaning, material claims and approval. This matters because brand decisions contain context that no model can infer safely from language alone: commercial intent, legal sensitivity, cultural nuance and the difference between deliberate evolution and accidental inconsistency. GentlyAI makes that authority explicit through review and approval boundaries, preserving a record of what the organisation has chosen rather than treating an AI output as self-authorising.

What is human oversight in AI marketing?

Human oversight in AI marketing means a responsible person can understand, challenge, approve or reject how AI contributes to work before consequential use. It is more than adding a final proofread. Good oversight gives the reviewer relevant brand context, makes claims and departures visible, preserves escalation points and records which guidance is authoritative. What is AI content governance?

AI content governance is the set of controls used to keep AI-assisted content appropriate, attributable and reviewable. It typically addresses who may create or approve work, what evidence supports a claim, which brand rules apply, how sensitive information is handled and what happens when an output falls outside policy. AI brand governance is the brand-specific part of that discipline. What is GentlyAI Brand Intelligence?

GentlyAI Brand Intelligence is observed intelligence about how a brand appears through available public evidence. It can help a prospective customer see the identity, positioning, trust and communication signals that an external system may detect before the customer supplies private source material. Brand Intelligence is descriptive, not authoritative: it records an observed view and may be incomplete. It does not become a customer’s Brand Memory merely because it exists. The customer review process is what turns relevant evidence and human decisions into private, governed execution authority for a workspace.

What is Brand Memory?

Brand Memory is the private, customer-governed execution authority GentlyAI uses for a company workspace. It contains the approved brand positions, language, claims discipline, visual and channel guidance, examples and human-approval boundaries that should govern AI-assisted work. Brand Memory is versioned so observed information, proposed changes and active guidance are not blurred together. A draft does not become authoritative simply because AI generated it: authorised people review and approve the active version. Once ready, Brand Memory can provide context to GentlyAI governance and entitled Managed AI workflows.

What is a Brand Genome?

A Brand Genome is GentlyAI’s observed representation of a brand’s characteristics and identity signals. It helps organise patterns such as archetype, posture, tonal qualities, continuity, differentiation and the evidence supporting those observations. The Genome is an interpretive intelligence layer, not a declaration that every observation is correct or approved. It gives people a structured way to inspect how the brand is being understood. Customer decisions made during governance are recorded in Brand Memory, leaving the observed Genome intact rather than rewriting observation as authority.

What is the difference between Brand Intelligence, Brand Genome and Brand Memory?

Brand Intelligence is the broader observed view of a brand from public evidence. Brand Genome is a structured representation of the identity characteristics and signals found in that observation. Brand Memory is different: it is the private, customer-approved authority used to govern execution. Intelligence and Genome help the organisation see what is being perceived; Memory records what authorised people confirm, correct or require. GentlyAI preserves these distinctions so an external observation cannot silently become an internal rule. Governance and Managed AI use the active Brand Memory, while human judgement decides what becomes authoritative.

How does GentlyAI learn what makes a brand distinctive?

GentlyAI begins with available brand evidence and looks for recurring identity signals rather than relying on a single slogan or style adjective. Public material can inform Brand Intelligence and an observed Brand Genome; approved documents, examples and customer decisions can then inform private Brand Memory. The governance process asks people to confirm, correct or qualify what the system has found. This combination matters because frequency is not the same as importance: a rarely stated founder principle may be more distinctive than a common category phrase. GentlyAI treats human confirmation and source quality as part of learning what should be protected.

Is public Brand Intelligence the same as private customer Brand Memory?

No. Public Brand Intelligence and private customer Brand Memory have different sources, permissions and purposes. Brand Intelligence is an observed view based on public evidence and is useful for understanding how a brand may currently be interpreted. Brand Memory belongs to the customer’s governed workspace and contains approved execution guidance, including private source evidence and human decisions. Public analysis cannot read, expose or replace private Brand Memory. GentlyAI deliberately separates the two so discovery remains observational while customer execution remains controlled by authorised workspace members.

Who controls Brand Memory?

The customer controls Brand Memory through authorised workspace roles and explicit governance decisions. GentlyAI can structure evidence, identify conflicts and propose changes, but an active version requires the appropriate human approval. Draft guidance, observed Brand Genome signals and accepted Brand Memory are maintained as distinct states. Workspace permissions determine who can review or approve material, while the company’s active memory remains attached to the governed workspace rather than to one person’s browser or AI account. This keeps brand authority institutional and reviewable without making every user a brand governor.

What happens when GentlyAI has not previously analysed a company?

GentlyAI does not present a missing analysis as complete and does not automatically treat an unknown company as having an approved Brand Genome or Brand Memory. The current Brand Analysis journey checks for a customer-ready company record. If the required record is not available, the public result cannot be used as verified purchase or governance context. The company can provide its business domain and approved material through the appropriate GentlyAI contact or onboarding process, but no future analysis outcome is promised on this page. Private Brand Memory is established only after verified company context, source review and human governance decisions.

03 — Providers

Governing Generative AI

One governance layer across customer-owned and entitled managed AI workflows.

How does GentlyAI work with OpenAI and ChatGPT?

GentlyAI supports two relevant paths. With Gently BYO, a team can use its existing ChatGPT account while applying GentlyAI governance through supported workflows such as the Chrome Governance Layer. With a Managed AI entitlement, OpenAI can be available inside the GentlyAI AI Workspace: it receives the workspace’s active Brand Memory context and mandatory governance is applied to the interaction. GentlyAI does not retrain OpenAI models or make ChatGPT the authority for the brand. Provider access follows the purchased entitlement, and the human user remains responsible for approving consequential output.

How does GentlyAI work with Anthropic and Claude?

A customer can govern use of an existing Claude account through the Gently BYO pathway, or use Anthropic as the selected managed provider under an eligible Gently + One AI entitlement. Anthropic is also available alongside the other supported managed providers in Gently AI Bundle. Inside the AI Workspace, the provider is invoked within the entitlement boundary, with active Brand Memory context and GentlyAI governance attached to the conversation. GentlyAI does not silently send a Claude request to another provider when Anthropic is unavailable; failure remains visible rather than changing the processing path without the user’s knowledge.

How does GentlyAI work with Google Gemini?

Gemini can be used as an existing customer-owned AI account under Gently BYO, selected as the managed provider for Gently + One AI, or accessed with OpenAI and Anthropic under Gently AI Bundle. Managed Gemini conversations are tied to the authorised workspace, active entitlement, Brand Memory context and governance controls. Usage is recorded against the workspace allowance when a governed generation succeeds. GentlyAI does not silently substitute another provider for Gemini, and a denied or failed request must not be represented as a successful Gemini generation.

What is Gently + One AI?

Gently + One AI combines the GentlyAI governance platform with one company-managed AI provider inside the AI Workspace. After entitlement is active, an authorised Owner or Admin selects OpenAI, Anthropic or Google Gemini for the workspace. Only that selected managed provider becomes available under the One AI entitlement, alongside the customer’s existing BYO pathways. Conversations use the active Brand Memory and mandatory governance, with a workspace-pooled monthly allowance. Changing or adding providers is not handled by a silent fallback; provider authority remains explicit and visible.

What is Gently AI Bundle?

Gently AI Bundle is the multi-provider self-serve package. It makes OpenAI, Anthropic and Google Gemini available inside one governed GentlyAI AI Workspace, using a shared Brand Memory and a provider-neutral pooled monthly allowance. The customer does not complete a single-provider selection step because the entitlement includes all three supported managed providers. Each conversation still records which provider was used, and GentlyAI does not silently switch a request from one provider to another. Bundle is designed for teams that need comparative access without fragmenting brand context and governance across separate environments.

What is Gently BYO?

Gently BYO is the self-serve package for customers who want to keep using their existing AI accounts. It provides Brand Memory, the Chrome Governance Layer, governed reviews and variants, GentlyAI-native intelligence, Insights and workspace governance activity, but it does not include a managed provider allowance inside the AI Workspace. Customer-owned ChatGPT, Claude, Gemini and Copilot accounts remain governed through the supported BYO experience. Provider credentials and subscriptions stay with the customer; GentlyAI supplies the brand-governance layer rather than reselling those existing accounts.

Does GentlyAI silently switch AI providers?

No. GentlyAI’s managed AI contract does not use silent provider fallback. A One AI workspace can access only its selected managed provider, while a Bundle workspace can deliberately choose among OpenAI, Anthropic and Gemini. If a provider request fails, is denied or is unavailable, GentlyAI keeps that outcome visible instead of routing the same request to another provider without disclosure. This protects provenance, commercial allowance accounting and customer expectations about where work is processed. Provider identity is part of the governed conversation record, not an implementation detail hidden from the user.

How is AI usage governed?

Managed AI usage is governed through authenticated workspace access, an active commercial entitlement, provider scope, Brand Memory readiness, mandatory governance and exact-once allowance accounting. A successful generation is persisted with its conversation and provider context before the corresponding usage is counted once against the workspace’s monthly pool. Duplicate events must not consume allowance twice, and failed or denied requests consume nothing. These controls govern access and evidence; they do not make generated content automatically approved. The person using the output remains accountable for applying the required review and approval boundaries.

How does Brand Memory affect AI output?

Brand Memory gives GentlyAI the approved context needed to guide or assess AI output for a particular workspace. Depending on the workflow, that context can shape instructions, identify claims or language that conflict with approved guidance, and support governed alternatives. It reduces the need for users to restate the brand from scratch in every prompt. Brand Memory does not guarantee that every model response is correct, and it does not remove the need for human review. It establishes the brand-specific authority against which an output can be judged.

What happens if Brand Memory is not ready?

If Brand Memory is not active and approved for the workspace, GentlyAI does not treat draft or observed material as production governance authority. Managed generation that requires active Brand Memory is blocked rather than proceeding without the promised context, and the customer is directed to complete the governance review. This fail-closed behaviour protects the distinction between what the system has observed and what the organisation has approved. Brand Memory readiness therefore represents a real control boundary, not a decorative onboarding milestone.

04 — Organisation

Teams, Regions & Enterprise Governance

Brand authority belongs to the company, while access and responsibility remain attributable to people.

Can multiple people from the same company use GentlyAI?

Yes, subject to the workspace’s active plan, seats and membership authority. Each employee uses a distinct WorkOS identity and receives an individual organisation and workspace membership; people do not share one customer login. When the business domain resolves to an existing company, GentlyAI reuses the established organisation, approved domain, canonical brand and regional workspace instead of recreating company-level brand state. Team self-serve plans include five users, while Solo plans include one. Additional or broader organisational requirements are handled through the appropriate plan or Enterprise scope.

How does GentlyAI support regional brand governance?

GentlyAI separates the canonical company brand from regional workspaces. A regional workspace can hold its own memberships, governor assignment, Brand Memory status and commercial access while remaining connected to the same company-level brand identity. This allows regional teams to work with relevant market context without creating an unrelated copy of the company for every employee. The first eligible active member may hold the regional-governor responsibility where no governor exists; later members normally join as contributors unless authority is deliberately changed. Governance permissions determine who can approve regional Brand Memory.

How does GentlyAI support global brand governance?

GentlyAI’s architecture distinguishes canonical brand identity, regional workspaces and governance roles so a global organisation can preserve shared authority while recognising regional execution. Current self-serve plans cover one company workspace and do not promise a multi-brand or multi-workspace global deployment. Broader global governance—including multiple regions, brands, identity systems or custom controls—is scoped through Gently Enterprise. This keeps the public promise aligned with the implemented commercial boundary while preserving an architecture in which global and regional responsibilities do not have to collapse into one undifferentiated account.

How does GentlyAI support enterprise marketing teams?

Gently Enterprise is an enquiry-led pathway for organisations that need more than a single self-serve brand workspace. The current Enterprise scope can be designed around multiple brands and workspaces, custom governance and provider agreements, enterprise bring-your-own-key requirements, Microsoft Copilot or Microsoft 365 pathways, SSO or Entra, integrations, data-processing terms, security review, implementation and service commitments. These capabilities are not represented as automatically included or immediately self-service; they depend on an agreed Enterprise scope. GentlyAI’s role remains the same: establish accountable brand governance across the AI-assisted work the organisation chooses to govern.

Why is GentlyAI particularly relevant to established brands?

Established brands have accumulated identity: recognisable language, visual codes, claims discipline, reputation, customer expectations and internal knowledge built over years. Generative AI can reproduce fragments of that identity while smoothing away the tensions that make it distinctive. The commercial risk is therefore not limited to a visibly incorrect post; it includes gradual loss of recognition and inconsistent decisions across a large organisation. GentlyAI helps convert accumulated brand knowledge into governed, usable Brand Memory so teams can adopt AI without asking every individual or model to rediscover what the brand means.

How does GentlyAI help protect accumulated brand identity and recognition?

GentlyAI helps protect accumulated identity by separating observation, approval and execution. Public evidence informs Brand Intelligence and an observed Brand Genome; authorised people decide what belongs in active Brand Memory; supported workflows then use that memory to guide and review AI-assisted work. This sequence preserves the context behind recognised language and positioning rather than reducing the brand to a few prompts. Drift signals and governed alternatives help people notice when new work is becoming generic or contradicting approved positions. The organisation can still evolve, but evolution becomes a visible decision rather than an accidental by-product of generation at scale.

How does company-level brand state remain separate from individual users?

GentlyAI stores company identity, approved domains, canonical brand records, regional workspaces and Brand Memory separately from a person’s WorkOS user identity. Each person receives memberships and roles that determine what they may access or approve. Removing or changing one membership therefore does not redefine the company, recreate the brand or transfer Brand Memory into that user’s personal record. Commercial subscriptions and entitlements are also attached to the governed organisation or workspace context. This separation supports continuity as employees join, change roles or leave while keeping actions attributable to the individual who performed them.

05 — Trust

Privacy, Control & Human Oversight

Private brand authority, explicit access boundaries and human accountability by design.

Is Brand Memory private?

Yes. Customer Brand Memory is private workspace data, not a public Brand Intelligence asset. Access requires an authenticated customer identity, the correct WorkOS organisation context, an active workspace membership and the permissions required for the requested action. The active memory and its approved version are used only within authorised GentlyAI workflows for that workspace. Public pages can explain the concept of Brand Memory, but they do not expose a customer’s memory content. GentlyAI’s published privacy and data policies describe the applicable handling and control commitments without turning private brand material into public discovery content.

Do other customers have access to a company’s Brand Memory?

No. A customer’s Brand Memory is resolved through that customer’s authenticated organisation, workspace and membership authority. Another customer cannot gain access merely by knowing the company name, domain or a public Brand Intelligence URL. GentlyAI keeps organisation identity, regional workspace membership and Brand Memory references within the customer authorization boundary, with service access reserved for controlled system operations. This separation is fundamental to the product model: companies may share a market or use the same AI provider, but they do not share private governed brand context.

Does public Brand Intelligence expose private Brand Memory?

No. Public Brand Intelligence is derived from observed public evidence and remains distinct from private, customer-governed Brand Memory. A public analysis may describe signals that are externally visible, but it cannot read an active customer memory, private source upload, approval decision or workspace conversation. GentlyAI does not merge the two layers simply because they refer to the same brand. That boundary lets prospective buyers inspect an observed view while ensuring that the execution authority used by governance and Managed AI stays inside the authenticated customer workspace.

How does GentlyAI preserve human approval and control?

GentlyAI preserves human control by treating AI analysis and proposals as inputs to a governed decision, not as automatic authority. Brand Memory has draft, approval and active-version boundaries; relevant workspace roles determine who may confirm material; and consequential output remains subject to the organisation’s review requirements. Managed AI receives mandatory governance context but does not mark its own response as approved. Where guidance is incomplete or a request falls outside entitlement or permission, the system is designed to deny or escalate rather than invent authority. Human judgement remains the final source of brand approval.

How does GentlyAI protect customer brand information?

GentlyAI protects customer brand information through authenticated access, organisation and workspace boundaries, role-based permissions, private Brand Memory records and controlled service operations. Approved source material is used to establish governance context for the customer workspace; it is not published as Brand Intelligence or used by GentlyAI to train external foundation models. Managed AI access is limited by entitlement and provider scope, and the product retains evidence of the provider and governed interaction. GentlyAI does not claim that technology removes all risk, so customers should follow the published security, privacy and data-handling guidance for sensitive material.

What happens to Brand Memory if an individual user leaves the company?

Brand Memory remains with the company’s governed workspace; it is not deleted or transferred merely because one user leaves. The departing person’s organisation or workspace membership can be revoked, which removes their access while preserving company-level brand state, approved versions and governance continuity for authorised colleagues. If that person held a governance role, the organisation should assign the necessary responsibility to another eligible member. Any formal deletion or privacy request follows the controlled customer-case process and does not automatically erase company, workspace, Brand Memory or Brand Intelligence records without identity and authority verification.

06 — Commercial

GentlyAI Plans & Access

What GentlyAI plans are available?

GentlyAI currently offers three self-serve package families: Gently BYO, Gently + One AI and Gently AI Bundle. Each is available for Solo or Team use and with monthly or annual billing, creating twelve current self-serve combinations. BYO governs customer-owned AI accounts; One AI adds one selected managed provider; Bundle includes OpenAI, Anthropic and Gemini in one governed workspace. Gently Enterprise is separate and remains price-on-application and enquiry-led because its brands, workspaces, providers and controls are agreed to scope.

What is the difference between Solo and Team?

Solo is the one-user version of the selected GentlyAI package; Team includes five users in the governed workspace. The package capability—BYO, One AI or Bundle—determines provider access, while the audience choice determines included user capacity. Team does not make every member a WorkOS Owner, Admin or brand governor. Individual memberships and roles still control access and approval authority. Moving from Team to Solo is not permitted while more than one active member remains, because the workspace must first fit the one-user capacity. Organisations needing more than five users can discuss an appropriate team or Enterprise scope.

What is the difference between BYO, One AI and AI Bundle?

Gently BYO adds GentlyAI governance around AI accounts the customer already holds and does not include managed AI allowance. Gently + One AI adds one selected managed provider—OpenAI, Anthropic or Gemini—inside the GentlyAI AI Workspace, with Brand Memory context, mandatory governance and a pooled monthly allowance. Gently AI Bundle makes all three supported managed providers available in the same governed workspace under one provider-neutral pooled allowance. None of the packages gives AI authority over brand approval; the difference is how provider access is supplied and governed.

Is Enterprise self-service?

No. Gently Enterprise remains price-on-application and enquiry-led. Enterprise requirements can include multiple brands or workspaces, custom governance and provider agreements, enterprise bring-your-own-key arrangements, Microsoft pathways, identity integration, security review, data-processing terms, implementation support and service commitments. Those elements need a defined organisational and technical scope, so the public site does not create an Enterprise checkout session or present a fixed self-serve entitlement. A prospective customer can begin an Enterprise conversation without changing the three self-serve package families.

Can customers change plans?

Yes, where the authenticated workspace and billing state support the change. A WorkOS Owner or Admin can use Settings → Plan & Billing to select an approved current package and cadence. Some upgrades or monthly-to-annual changes apply immediately with Stripe proration; reductions, Team-to-Solo moves and annual-to-monthly changes may be scheduled for the next renewal. Team-to-Solo is blocked until the workspace has no more than one active member. Who can manage billing?

Billing actions are limited to an authenticated member whose authoritative WorkOS organisation role is Owner or Admin for the selected workspace. That authority is checked again by the protected billing service before a portal session, plan change or cancellation-at-renewal action can proceed. A governance role such as regional governor does not automatically create billing authority, and completing a purchase does not by itself substitute for the WorkOS role boundary. Members without billing authority can see the relevant workspace experience and submit a controlled support request, but they cannot use the protected billing actions.

Can several people from the same company independently use GentlyAI?

Yes. Multiple employees with legitimate business-domain identities can use GentlyAI as distinct users when the company’s plan, seats and membership rules permit access. GentlyAI does not impose a one-user-per-company rule. Each person has an individual WorkOS identity and attributable memberships, while the existing organisation, approved domain, canonical brand, regional workspace and Brand Memory are reused rather than recreated. Later users do not automatically become WorkOS Owners, Admins or governors, and their access does not create a separate copy of the company’s brand state. Commercial authority remains attached to the governed workspace and its active subscription or entitlement.
